Meeting Room Rules
This summary lists rules that most frequently affect meetings. A complete list of regulations is available at the Information Desk and is posted in each meeting room.
- Library meeting rooms are intended for community groups who plan educational, informational, or cultural meetings.
- All meetings must be open to the public.
- There is no charge for the use of meeting rooms, but a cleaning fee of not less than $20 will be charged to groups who fail to return a room to its original condition. (Groups must clean up and put furniture back in its original arrangement.)
- The patron responsible for the meeting must have a current Ames Public Library card, and their account must be in good standing at check-in. Please be aware that meeting room privileges are automatically suspended when a patron’s library card account reaches the maximum limit set for fines/fees. If borrowing privileges have been suspended, the patron will need to pay fines or arrange a payment option with the circulation staff prior to the day of the meeting.
- Groups may not sell merchandise, solicit for later sales contacts or placement of orders, or charge admission fees or tuition. (Events sponsored by the Ames Public Library, the City of Ames, Friends of the Ames Public Library, or the Ames Public Library Foundation are exempt from these restrictions.)
- Groups serving food or beverages must provide their own equipment (such as a coffeepot) and supplies (such as napkins and cups). Because of problems with carpet stains, we discourage the serving of red/purple fruit juice and Kool-Aid.
- Decorations must be approved in advance.
- Smoking, alcoholic beverages, and illegal activities are not permitted in the Library.
- Library activities and functions have priority. The Library reserves the right to cancel or relocate a meeting (with 48 hours notice) if circumstances warrant.
